Content fingerprinting is one of the ways mailbox providers gauge the deliverability of your emails.<\/p>\n\n\n\n<p>In our experience with brands, we\u2019ve had to go beyond standard best practices. Often, brands adhere to deliverability guidelines but lack a deeper understanding of the extent to which mailbox providers can go in order to green-flag emails. In fact, even their basic understanding of deliverability rules contains gaps.&nbsp;<\/p>\n\n\n\n<p>Fingerprinting, for one, goes beyond keywords, subject lines, and sender reputation.&nbsp;<\/p>\n\n\n\n<p>You might be struggling with deliverability despite following best practices because you haven\u2019t considered this slightly more sophisticated method used by email clients.<\/p>\n\n\n\n<p>In this blog post, you\u2019ll learn in detail what content fingerprinting is, the attributes it tracks, and additional best practices to maximize deliverability. By tracking multiple attributes of an email, from sender details to HTML makeup, the mailbox provider creates \u201cunique fingerprints\u201d for each email.&nbsp;<\/p>\n\n\n\n<p>In the following example, a unique sender fingerprint has been created based on the deliverability standards of the email.&nbsp;<\/p>\n\n\n\n<div class=\"wp-block-image border1-black\"><figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"1000\" height=\"462\" src=\"https:\/\/email.uplers.com\/blog\/wp-content\/uploads\/2024\/06\/image1.png\" alt=\"unique sender fingerprint\n\" class=\"wp-image-39826\" srcset=\"https:\/\/email.uplers.com\/blog\/wp-content\/uploads\/2024\/06\/image1.png 1000w, https:\/\/email.uplers.com\/blog\/wp-content\/uploads\/2024\/06\/image1-300x140.png 300w, https:\/\/email.uplers.com\/blog\/wp-content\/uploads\/2024\/06\/image1-768x355.png 768w, https:\/\/email.uplers.com\/blog\/wp-content\/uploads\/2024\/06\/image1-624x288.png 624w\" sizes=\"auto, (max-width: 1000px) 100vw, 1000px\" \/><\/figure><\/div>\n\n\n\n<p>The \u201cfingerprint\u201d is the unique identifier for the email. It acts like a digital synopsis. The mailbox provider compares the fingerprint with known spam formats and patterns. If the fingerprint matches those patterns, the email is flagged as spam. But if it doesn&#8217;t, it\u2019s a \u201cclean\u201d fingerprint, and the email is allowed to pass through.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"Attributes\"><strong>Attributes Tracked by Mailbox Providers<\/strong><\/h2>\n\n\n\n<p>Fingerprinting gives you an extra level of insight, allowing you to check all essential attributes of every email you send. Beyond standard deliverability best practices, optimizing the attributes tracked by mailbox providers will give you a head start over other senders.&nbsp;<\/p>\n\n\n\n<p>So let&#8217;s examine these attributes in some detail.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"Header\">1. <strong>Header<\/strong><\/h2>\n\n\n\n<p>The header consists of the envelope content such as From and To details, subject line, security details, recipient information, timestamp, route, etc.&nbsp;<\/p>\n\n\n\n<p>Mailbox providers analyze the header, looking mainly for the following:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Sender information:<\/strong> Sender information includes the sender\u2019s name, email address, timestamp, and subject line.<br \/><\/li><li><strong>Routing information:<\/strong> This includes the email&#8217;s journey from sender to recipient, the number of IP addresses it used, and the servers it passed through.<br \/><\/li><li><strong>SPF and DKIM verification:<\/strong> The mailbox provider scans the \u201cmailed-by\u201d and \u201csigned-by\u201d fields to verify SPF and DKIM verification, respectively. If both fields match the domain name in the From address, then it\u2019s a legitimate email.&nbsp;<\/li><\/ul>\n\n\n\n<p>Take a close look at the following header. Then, select <strong>Show Original<\/strong> from the drop-down menu.&nbsp;<\/p>\n\n\n\n<p>You\u2019ll be redirected to a new page. White, the author of best-selling book, Email Marketing Rules, <a href=\"https:\/\/www.emailmarketingrules.com\/examples\/#subjectlines\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">recommends the CUE-DIVE method<\/a> of writing good subject lines and preview text. The CUE-DIVE framework requires your subject line to be <strong>C<\/strong>ontextual, <strong>U<\/strong>rgent, <strong>E<\/strong>motional, <strong>D<\/strong>etailed, <strong>I<\/strong>ntriguing, <strong>V<\/strong>isual, or <strong>E<\/strong>arned.&nbsp;<\/p>\n\n\n\n<p>The recipient\u2019s mailbox provider examines an email\u2019s subject line based on criteria that more or less can be said to fall under the CUE-DIVE classification:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Clarity: <\/strong>The mailbox provider evaluates the clarity of a subject line; specifically, whether it aligns with the body copy.<br \/><\/li><li><strong>Relevance:<\/strong> The criterion is based on the \u201ccontextual\u201d aspect of the CUE-DIVE framework. Does the subject line make sense to the recipient? Is it in line with user expectations?<br \/><\/li><li><strong>Language:<\/strong> Is the subject line salesy, filled with all-caps, or using too many exclamation points?&nbsp;<\/li><\/ul>\n\n\n\n<p><strong>Read more:<\/strong> <a href=\"https:\/\/email.uplers.com\/blog\/8-email-subject-line-statistics\/\" target=\"_blank\" rel=\"noreferrer noopener\">8 Email Subject Line Statistics Every Marketer MUST Know<\/a><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"Body\">3. <strong><\/strong><strong>Body<\/strong><\/h2>\n\n\n\n<p>In the case of body copy too, mailbox providers look for obvious signs of salesy-ness and alignment with the subject line. The former is easily identified by the use of all-caps; the latter checks for discrepancies between the subject line and the email body content.<\/p>\n\n\n\n<p>\u201cWhat your email subject line promises, the email message should deliver,\u201d <a href=\"https:\/\/blog.hubspot.com\/blog\/tabid\/6307\/bid\/32606\/the-9-must-have-components-of-compelling-email-copy.aspx\">says <\/a>Lindsay Cox, an associate in strategy and operations at McKinsey &amp; Company. \u201cWhy? It\u2018s not just because it\u2019s responsible. It\u2018s also because click-through rates plummet when readers don\u2019t get what they&#8217;re promised in the subject line,\u201d Cox adds.&nbsp;<\/p>\n\n\n\n<p>The recipient\u2019s mailbox provider also checks for potential deceptive\/phishing attempts in the body. It scans the content for grammar and spelling errors, suspicious links, awkward phrasing, requests for personal details, aggressive scare tactics, etc.&nbsp;<\/p>\n\n\n\n<p>So much for the negative side. Coming to the positive aspect, consider following these best practices while writing your next email copy:<br \/><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Be colloquial:<\/strong> Email is one-to-one, personal, intimate. An informal tone will perform better in this context.<br \/><\/li><li><strong>Use active words:<\/strong> Kath Pay, the author of Holistic Email Marketing, <a href=\"https:\/\/www.holisticemailmarketing.com\/blog\/email-copywriting-the-overlooked-art-and-asset\/\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">calls these<\/a> \u201cpower words.\u201d \u201cPower words can move your email readers to action,\u201d Pay explains. Choose, Improve, Increase, Avoid, Act, Boost, Build, Capture, Explore, Ensure, Learn, Prevent, etc. are some of Pay\u2019s power words.<br \/><\/li><li><strong>Leverage white space:<\/strong> To make your copy skimmable, readable, and to let key points stand out.<br \/><\/li><li><strong>Apply the Rule of Three: <\/strong>Another of Pay\u2019s brilliant hacks. \u201cThings in threes have&nbsp; a natural cadence and rhythm,\u201d Pay explains. Example of a sentence that uses the Rule of Three: <em>Our services are premium, tailored, and cost-effective. <\/em>The point of using the Rule of Three is to make your content memorable.<\/li><\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"HTML\">4. <strong><\/strong><strong>HTML Structure<\/strong><\/h2>\n\n\n\n<p>Mailbox providers look for the following while analyzing the <a href=\"https:\/\/email.uplers.com\/blog\/create-html-email\/\">HTML structure of emails<\/a>:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Blinking text:<\/strong> In HTML, a blinking text can be achieved using the &lt;blink&gt; tag. But the &lt;blink&gt; tag is a deprecated tag. It can be used to create spammy or deceptive email content, which is why mailbox providers flag such emails.<br \/><\/li><li><strong>Base64 encoding:<\/strong> Base64 is used to convert binary data into ASCII format. In simple terms, it encodes binary data as printable text. Base64 can be used to obfuscate malicious links. Base64 makes these links appear as a random string of characters, which makes it harder for security filters to detect and block the links.<br \/><\/li><li><strong>Device rendering:<\/strong> Mailbox providers see whether emails are device-optimized. Ensuring your emails render correctly across devices is critical for positive UX.<br \/><\/li><li><strong>Any other suspicious code: <\/strong>These include, but are not limited to, malicious redirects, embedded scripts, iframes, form elements, etc.&nbsp;<\/li><\/ul>\n\n\n\n<p>Design also plays a role in improving or damaging email deliverability. \u201c<a href=\"https:\/\/email.uplers.com\/custom-email-templates-design-coding\/\" target=\"_blank\" rel=\"noreferrer noopener\">Email design<\/a> leaves digital footprints that can be tracked. This is known as Bayesian filtering, where word pair combinations in the email content and HTML tags are analyzed to determine if the email is spam,\u201d <a href=\"https:\/\/stripo.email\/blog\/keith-kouzmanoff-on-the-paradoxes-of-email-deliverability-and-email-protection\/\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">says<\/a> Keith Kouzmanoff, email administrator at Inter7 Internet Technologies.\u00a0<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"Attachments\"><strong>5. <\/strong><strong>Attachments<\/strong><\/h2>\n\n\n\n<p>About <a href=\"https:\/\/www.forbes.com\/sites\/chuckbrooks\/2023\/05\/05\/cybersecurity-trends--statistics-more-sophisticated-and-persistent-threats-so-far-in-2023\/?sh=2da838d87cb6\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">560,000 new malware threats<\/a> are detected every day. And email attachments are one of the common entry points of malware.&nbsp;<\/p>\n\n\n\n<p>\u201cSimply clicking on an attachment can run malicious code that compromises the security of your device, often exploiting vulnerabilities in software. If you download and open the attachment, you could automatically install malware,\u201d <a href=\"https:\/\/proton.me\/blog\/author\/hbone\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">explains<\/a> noted privacy advocate, Harry Bone.<\/p>\n\n\n\n<p>That is why mailbox providers scan these attachments for potential malware. Follow these best practices to avoid accidentally sending malware to your subscribers:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>If and when possible, avoid pasting attachments altogether. For large files, consider cloud storage links or website downloads.<br \/><\/li><li>If you must send attachments, password-protect them.<br \/><\/li><li>Only send attachments from trusted sources. The content fingerprinting process compares file types with known risky file extensions in the provider\u2019s database.&nbsp;<\/li><\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"Engagement\"><strong>6. <\/strong><strong>Engagement History&nbsp;<\/strong><\/h2>\n\n\n\n<p>By looking at open rates, click-through rates, opt-out rates, spam complaints, unsubscribe rate, recipient activity, and other <a href=\"https:\/\/email.uplers.com\/blog\/email-marketing-metrics-what-to-track-beyond-ctr-and-opens\/\" target=\"_blank\" rel=\"noreferrer noopener\">relevant engagement metrics<\/a>, mailbox providers try to analyze email recipients\u2019 engagement history with brands.\u00a0<\/p>\n\n\n\n<p>In essence, a positive engagement history boosts sender reputation, allowing emails to pass through. Understand, your subscribers are not static; they, like you, are influenced by various factors that drive their actions. It&#8217;s fine to start with a baseline, but over time, your subscribers will indirectly determine the optimal send time and frequency.&nbsp;<\/p>\n\n\n\n<p>That&#8217;s also the key to improving deliverability. Mailbox providers track everything to benefit the user, not the brands.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"Mitigate\"><strong>Mitigate The Negative Impact of Content Fingerprinting<\/strong><\/h2>\n\n\n\n<p>You can\u2019t avoid content fingerprinting, but you can adopt certain best practices to mitigate its impact on email deliverability:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Update your email content regularly. You want to signal minimum potentially repetitive patterns to the recipient\u2019s mailbox provider.<br \/><\/li><li>Create fresh content. Especially for seasonal campaigns, it\u2019s tempting to repeat certain, if not all, practices\/approaches\/ideas from the previous year. Resist!<br \/><\/li><li>Leverage dynamic content. Dynamic content adapts to user behavior, reducing the likelihood of pattern formation.<br \/><\/li><li>Finally, as we mentioned just now, allowing user behavior to determine send time and frequency introduces user-aligned variation into the cadence.<\/li><\/ol>\n\n\n\n<h2 class=\"wp-block-heading\"><strong><\/strong><strong>Create Emails for People, Not Inbox Providers<\/strong><\/h2>\n\n\n\n<p>Inbox providers are on the side of consumers, not brands.&nbsp;<\/p>\n\n\n\n<p>This is why they now consider both negative and positive feedback. The <em>Report Spam<\/em> button isn&#8217;t just for spam complaints anymore; subscribers use it for any irrelevant content or negative customer experiences, even if they opted in to your email list.<\/p>\n\n\n\n<p>As a result, your marketing should be essentially people-centric.
